4.8 Remote Access - Overview


4.81 The Remote Access Procedure

  1. Remote Access asks caller for account identification (account ID). STFax uses the 'Choose' command which states "Please enter your account ID, followed by the hash key".

  2. Remote Access asks caller for their account password. STFax uses the 'EnterPwd' command and states "Please enter your password, followed by the hash key".

  3. Once a correct account ID and password have been entered, STFax will allow remote access to that account. STFax will play the 'RemoteAccessMenu' command, stating "To check your voice mail, press 1. To receive your faxes, press 2. To change your mailbox greeting, press 3".

    1. Checking New Voice Messages

      • If a caller presses '1', to check their new voice mail, STFax will examine the number of new voice messages and will inform the caller how many new messages are present using one of the 'Msg' commands. For instance, if the caller has three new voice messages within their account, STFax will execute the '3Msg' message, which states "You have three messages".

      • STFax will then start playing the first message, followed by the second, followed by the third...and so on.

      • At any time during the the playback of voice messages, a caller has a number of different options available:

        The 'help' option (assigned to key '5' as default) uses the 'RemoteVoiceMenu' message, which plays "Press the following keys at any time. Press 1 to advance to the next message. To replay your message, press 2. To delete your message, press 3 or press star for the main menu".

        These options are also configurable.

      • Once STFax has reached the end of the final message it will play the 'NoMoreMsgs' message, which states "End of final message".

      • STFax will then loop back to the main remote access greeting, allowing the caller to then forward faxes or change the mailbox greeting.

    2. Forwarding New Fax Messages

      • If a caller presses '2', to check for new fax messages, STFax will examine the number of new fax documents available and will warn with the standard 'Msgs' message. ie. if there are two new fax documents within the account, STFax will play the '2Msgs' message, which says "You have two messages".

      • The remote access system then 'AskNumber' message, which states "Enter the fax number and the hash key to confirm, or press star to start again".

      • The remote access system then plays the 'EnteredNumber' message, followed by the number the caller entered into their telephone keypad. For example, "You have entered number ".

      • The 'Confirm' message is then played, asking you to confirm the fax number: "If this is correct, press the hash key, or press star to start again". If the caller presses the hash key it continues, if they press *, they are required to re-enter the fax number.

      • Once the fax number is entered and confirmed, the remote access sytem will play the 'Preparing' message: "Your fax is being prepared and will forwarded to the selected number".

      • STFax will hang up, in order to send the fax document(s).

    3. Changing Your Mailbox Greeting

      This option will allow you to change the greeting assigned within the Remote Access window. See Understanding The Remote Access Preferences for further information.

      • The remote access system will play the 'CurrentGreeting' message, which states "Your current greeting is...", followed by the actual current current greeting.

        The remote access system will then use the 'ChangeGreeting' message to say "If you would like to keep this greeting, press 1. To re-record this greeting press 2, or press start for the main menu". If the caller presses 1 or *, the current message is kept, if the caller presses '2', the current greeting can be re-recorded.

      • If the caller chooses to re-record, STFax will use the 'RecordGreeting' message to say "Please record your greeting after the tone and then press the hash key for further options".

      • The remote access system then plays the 'AfterRecMenu' which will say "Your message has been recorded. Press 1 to replay your message, press 2 to re-record your message or simply hangup".

        Once the greeting has been recorded (or kept) this new greeting will be the greeting the user hears when they call that particular server.
